Damage Policy

How your refundable security deposit works, and what counts as normal wear versus chargeable damage.

Last updated 3 September 2026

Deposit held

Collected with your advance for items that require one.

Checked on return

We inspect the item when it's checked in.

Refunded, minus damage

The remainder is refunded once inspection is complete.

1. What the deposit covers

Where a rental item has a refundable security deposit, it's collected alongside your advance payment and shown separately in your order summary before checkout — never as a surprise. It covers loss of the item, or damage beyond normal wear and tear. In case of any damage or missing product(s), we'll notify you as soon as the product is received back, and you agree to pay for any damage, loss, or theft of the item.

2. Normal wear vs. chargeable damage

Normal wear is expected and never charged. This includes things like:

  • Light scuffs, scratches, or fading from ordinary use
  • Minor dirt or odour that comes off with standard cleaning
  • Battery or charge level lower than when delivered

Chargeable damage is anything beyond that, for example:

  • Cracked, broken, or non-functional parts
  • Missing accessories, cables, or components included with the item
  • Water damage, burns, or damage from misuse
  • The item not being returned at all

What's not covered under any circumstance, deposit or otherwise:

  • Damage due to improper usage
  • Theft
  • Burglary
  • Lost items

3. How costs are calculated

When your rental is checked in, the item is inspected against its condition at delivery. If chargeable damage is found, we'll contact you with photos and a cost estimate before deducting anything from your deposit.

Repairable damage — actual repair cost, plus ₹300 to cover logistics expenses.

Irreparable damage — you're responsible for the current replacement cost of the product in full.

Loss or theft — not covered by any protection plan; you're responsible for the current replacement cost of the product in full.

If you've opted into a damage protection add-on at checkout, your rental is protected against accidental damage up to 50% of the product value, capped at ₹25,000, per that plan's terms. If the repair cost exceeds your coverage limit, you're responsible only for the amount exceeding the cap. A separate invoice is issued for any damage, loss, or theft charges, so the amount and reason are always clear.

4. Getting your deposit back

Once an item passes inspection, the remaining deposit is refunded to your original payment method. Refund timing depends on your bank or payment provider, typically a few business days.

5. Disputes

If you disagree with a damage assessment, reply to the notice we send you or contact us at info@climbupgears.com — we'll review it with you before finalising any deduction.
